View existing invoices
01. View existing Orders(For orders that have not yet been paid or are completed but not closed)The Order List allows you to manage all created orders. Orders will automatically sync to the
Order-Ticket section, making it easier to track the total number of orders created in a day, payment statuses, and various other details.
To access Orders:Sign in to your POS system → Click
Order-Ticket.
The
ORDER interface will display, showing the following order statuses:
- PENDING APPROVAL: New orders placed by customers.
- SERVING: Orders currently being prepared.
- READY: Dine-in and pickup orders that are ready for customers.
- READY FOR DELIVERY: Delivery orders that are prepared and ready for dispatch.
- DELIVERING: Orders that are in the process of being delivered to customers.
- SERVED: Orders that have been delivered to customers.
- CANCELLED: Orders that have been canceled.
Order List Overview:The order list provides a quick snapshot of each order to facilitate management. For each order, you can view:
- Order creation time: Including date and time.
- Elapsed time: Time passed since the order was created.
- Order number: Unique identifier for the order.
- Amount paid: Total payment made by the customer.
- Number of guests: Count of diners associated with the order.
- Dish status: Shows whether items are not started, being prepared, or ready for serving.
- Service type: Indicates whether the order is dine-in, takeaway, or delivery.
Click on an order to view detailed information:Each order is divided into three main sections:
1. Details:
- Order Number: A unique ID assigned to each order, making it easy to track and manage.
- Status: Not cooked, Cooking, Completed and Waiting to be served
- Order Created Time: (Date + Time)
- Number of Guests: The number of guests for the order
- Customer Information: Name, Phone Number, etc.
- Service Type: Dine-in, Pickup, or Delivery
- Amount Paid by Customer: The amount the customer needs to pay
- Staff Information: Creator, Server, Chef, Cashier
- Ordered Items: Dish Name, Options, Notes, Price, etc.
- Surcharge / Discount / Delivery: Use the “+ Add” button to add new charges or adjustments.
- Total: Total amount payable by the customer
- Print: Preview Invoice, Print in Kitchen
- Send: Share via Email, SMS, or Link
- Adjust: Add more items to the order
- Kitchen Speaker: Announce the order in the kitchen using a speaker system
- Cancel Order: Click to cancel or delete the order
- Close Order: Close the invoice once the customer has completed payment. (This button will be disabled if the payment is not completed.)
2. Payment:
- Payment Time and Amount: When and how much the customer paid
- Staff Name: The staff member processing the payment
- Payment Type and Reference Number: The payment method and any associated reference number
- Button “Cash Drawer”: Allows the cashier to open the cash drawer
- Button “Receive”: Opens a payment options interface
- Button “Refund”: Process a refund for the customer
3. Log:
- Order History: Logs the status, staff actions, and timestamps for activities such as adding items, cooking, and completing dishes
- The cashier can send SMS updates to customers via a chat text box
02. View existing invoices(Customers have either not paid or have completed payment but not "Close Order" yet)This feature allows staff to review previously generated invoices. It helps staff verify detailed information about past transactions.
To view the details of an invoice:Step 1: After signing into your POS → Click on
Order-Ticket.
Step 2: Select the order you want to view the invoice for → The order details will appear → Click the
Print icon at the bottom left → The
Print Preview icon will appear → Click it to view the
Invoice Details.
Invoice Information Includes:
- Order Number: A unique ID assigned to each order, making it easy to track and manage.
- Restaurant Information: Name, address, phone number
- Invoice QR Code: Customers can scan this QR code to pay for the invoice
- Date: The date and time the order was created
- Name: Customer's name
- Phone Number: Customer's phone number
- Service Type: Dine-in, takeout, or delivery
- Printed: Name of the staff member who printed the invoice
- Creator: Name of the staff member who created the order
- Served: Name of the server who served the order
- Chef: Name of the kitchen staff who prepared the food
- Status: Not started, in progress, completed, waiting to be served
- Additional Charge Needed: The amount the customer needs to pay
- Item Information: Dish names, options, quantity, price, etc.
- Total: Total amount
- Tip: If applicable
- Print: Click to print
- Close: Cancel without printing
03. View existing invoices(Customers have completed payment, and the order has been closed)This feature allows staff to review previously generated invoices. It helps staff check detailed information about completed transactions.
To view the details of an invoice:Step 1: After signing in to your POS → Click
Content Management → Navigate to the
Invoice tab.
Step 2: Click on the invoice you wish to view → The
invoice details will appear.
An order is divided into three main sections:
Details:
- Order Number: A unique ID assigned to each order, making it easy to track and manage.
- Dish Status: Served
- Order Creation Time: (Date + Time)
- Number of Guests: The number of guests for the order
- Customer Information: Name, phone number, etc.
- Service Type: Dine-in, takeaway, or delivery
- Payment Status: Fully collected
- Staff Information: Creator, Server, Chef, Cashier
- Order Details: Item names, options, notes, prices, etc.
- Surcharge / Discount / Delivery Fees
- Total: Total amount paid by the customer
- Print: Preview the invoice
- Send: Email, SMS, or share link
- Reopen Order: Open the invoice again
Payment:
- Transaction time and amount
- Staff member who processed the payment, payment type, and reference number
Log:
- A log of status updates, staff actions, and timestamps for events like adding items, preparing dishes, and completing orders
- Cashiers can send SMS messages to customers through the chat textbox
